This privacy statement is provided in compliance with GDPR regulations regarding information we hold about you. Under GDPR regulations you have a right to review all information we hold about you. You also have the right to have errors in that information corrected.

What information do we hold, on what basis and why is it required
The basis on which we hold your personal information is one of contract. The information we hold consists of the following:

  • Your name and current address
  • Your phone number and email address
  • Full details of the property you own including mortgage details where applicable
  • Details of your tenants where your property is let
  • Details of your letting agent where your property is let.

Where a leaseholder is a director of a freehold company we would also hold details such as

  • Your date of birth
  • Your occupation
  • Details of any previous names you have been known by
  • Details of shareholding in the company.

We require this information in order to carry out our function as your block managers.

How long do we hold your information for
If we cease to act for you all electronic information is deleted straight away and any hard copy information is disposed of as confidential waste six years after the time that we cease to act for you. This is the statutory time frame required under company law for a limited company to hold information relating to company activities.

Who do we share your information with
Your name and mobile number, or the name and mobile number of your tenants, and details of the property you own are passed to tradesmen when access is required for block management matters such as fire alarm testing or other statutory inspections.
We do not sell on your information to anyone and we do not use your information for any other purpose than in our capacity as your block managers.

The basis on which we hold your personal information is one of contract. We have a contract with your landlord to manage the building you live in which means we need contact details of all tenants residing in the building. The information we hold consists of the following:

  • Your name and address
  • Your phone number and email address

We require this information in order to carry out our function as your block managers.

The basis on which we hold your personal information is one of consent and contract. You consent to provide us with the information in order that we may use your services and once we engage your services the information is then held on contract basis. The information we hold consists of the following:

  • Your name and address
  • Your phone number and email address
  • Your bank details

We require this information in order to carry out our function as tenancy and block managers.

How long do we hold your information for
If you cease to trade or for any reason we cease to use your services all electronic information is deleted straight away and any hard copy information is disposed of as confidential waste six years after the time that we cease to use your services. This is the statutory time frame required under company law for a limited company to hold information relating to company activities.

Who do we share your information with
Your name and mobile number will be passed to tenants and residents of property you need to access in order to carry out work we have instructed you to do. Your contact details will also be passed to others who we recommend your services to.
